Details: CLINICAL RESEARCH ASSOCIATE (CRA) - FIELD MONITOR Job Summary: VetPharm is the contract research organization dedicated exclusively to animal health. It provides an extensive range of clinical research services to veterinary pharmaceutical, nutrition, nutraceutical, and device companies (“study sponsors”). The principal business of VetPharm is the planning, implementation, and management of veterinary clinical trials, and its success depends on the delivery of 100% error-free data on time and within budget. All veterinary clinical trials are governed by regulations and guidelines established by the U.S. Department of Health and Human Services Food and Drug Administration (FDA) Center for Veterinary Medicine (CVM). The Clinical Research Associate (CRA) is VetPharm’s primary administrative link between company management and operations in the field. They are responsible for the quality, consistency, and accuracy of all data generated by the licensed veterinarians at the individual animal hospitals or clinics (study sites). They assure that the experimental study compound is delivered to each study site by the study sponsor, securely stored at the site, properly administered by the veterinarian, and accurately accounted for by the site staff. They track study subject (client-owned pet) enrollment and assist the individual study sites in meeting study timelines. If, in their opinion, any site fails to meet VetPharm’s standards, the CRA provides remedial training and other support to improve the site’s performance. Throughout each study, the CRA will exercise independent judgment regarding individual study site compliance with VetPharm standard operating procedures (SOPs), the study protocol and study-specific SOPs, and the FDA/CVM’s Guidelines and Guidance Document No. 85 (VICH GL9) Good Clinical Practice (GCP). If any site is not compliant in any respect, the CRA will decide what corrective action is warranted. Most CRAs are located in VetPharm’s headquarters office in East Rochester, New York. However, a select few are located in major cities around the country. Their work, which combines auditing, quality control, and database administration, is primarily sedentary in nature and typically is performed at a desk or table, using a laptop computer or PC, telephone, and other customary office equipment. As summarized above and described in more detail below, their primary activities are directly related to the business operations of VetPharm, which involve the management of veterinary clinical trials. Many of their responsibilities require them to make independent judgments regarding significant issues affecting the overall success of individual studies and/or the health and safety of individual participating animals. The most likely career progression for a CRA would be promotion to Senior CRA, Clinical Trial Manager, and Project Leader. CRAs who exhibit strong planning, organization, and administrative abilities, professional and effective communication skills, and reliable, timely, and superior results will be prime candidates for promotion. Reports to: Director - Clinical Trials Key Interfaces: Other CRAs (including Senior CRAs). Operations support personnel. Veterinary clinic staff participating in studies including, but not limited to, licensed veterinarians (DVMs), licensed veterinary technicians, and clinic managers and administrators. Study team leaders at sponsor pharmaceutical, nutrition, nutraceutical, and device companies (usually veterinarians with advanced degrees including PhD). VetPharm subcontractors including, but not limited to, clinical laboratories, computer system providers, biostatisticians, medical writers, and experimental study compound storage and distribution companies. Essential Functions: • Administers VetPharm’s study management process. The study management process is a set of detailed procedures followed by all VetPharm personnel that ensure high-quality results and full regulatory compliance during the planning, implementation, and management of each clinical trial. • Participates in the planning for each new study. • Reviews and develops a thorough understanding of each new study’s protocol, an FDA-approved document which describes the study design, enrollment criteria, and data collection requirements of the study. The protocol serves as their reference during the study when advising individual site personnel and making independent judgments regarding matters affecting the progress and/or success of the trial. • Assists in the selection of licensed veterinarians to serve as study investigators in the clinical trial. VetPharm’s composite rating of potential investigators based on their previous study performance is a key determinant in this selection process. • Assists in the development and presentation of training programs for all study participants. • Coordinates the production and distribution of all study materials to individual study participants including, but not limited to, training documentation, experimental compound, required equipment and supplies, and all study-related communications. • Throughout each study, serves as the principal contact for sponsor study team members, study investigators, and site staff for all study-related issues. Facilitates study participant interaction and documents all study communications as required by the FDA. • Documents the progress of study subject enrollment against target and implements enrollment support measures as warranted. • Continually assesses the performance of investigators and conducts remedial training as needed to maintain VetPharm standards. • Promptly reviews (usually within 24 hours of receipt) all data forms (paper or electronic case report forms, administrative report forms, and other study documents). Identifies errors and coordinates their correction. • Throughout each study, the CRA “keeps score” and prepares variance reports for VetPharm management regarding key study parameters such as subject enrollment, completed study visits, protocol deviations, data error rates, adverse events and their resolution, and study timelines. • Assists in the development and delivery of training for new CRAs. • Identifies, evaluates, and recruits veterinarians to serve as future study investigators Supervisory Responsibility: Oversees, coordinates, supports, and evaluates the performance of investigators and site staff participating in each study. CRAs typically are not assigned to more than two studies at any point in time. Each study will have a minimum of four sites, but could have as many as thirty. Each site usually assigns one or two veterinarians and one to four site staff to a study.
