Takes steps to assure full company compliance with the Mail Order Rule by assuring customer communication requirements are met. Supports and helps develop objectives designed to enhance customer service and increase company profits. Specific Responsibilities: Performs all Purchasing Duties Related to Catalog Development: 1. Organizes, maintains, tracks and monitors all aspects of the non-food catalog development process, including: A. Reviews non-food Post Pack Presentation files to ascertain buying group responsibility for new product as requested by supervisor. B. Inputs and maintains Buyer Code into Flex PLM. C. Maintain the flow of item and Supplier set-up to assure deadlines are met and bottlenecks do not occur. If these start to develop or the workload is such that deadlines cannot be met, review with supervisor. At supervisor's direction, will take seek assistance for overflow of work until peak has passed. Fulfillment and Associated Requirements: 1. Assists supervisor with analyzing estimates, inventory levels and sales curves on Direct Tech to determine optimum receipt dates in support of order fulfillment while minimizing excess inventory. At direction of supervisor, specifically: A. Confirm with vendor the quantity, cost and due date of the Purchase Order issued by Inventory Manager. B. If changes to delivery date, availability, and/or quantity occur after issuance of the Purchase Order, which will affect backorder dates immediately, informs Inventory Manager of situation. C. Performs maintenance on backorder dates as instructed by the Inventory Manager and authorizes Supplier to deliver late. D. Maintains Purchase Order changes in the mainframe (AMAPS) system. 2. Assists supervisor in maintaining back order date to assure most up to date and accurate information is available for Customer Service. At direction of supervisor, specifically: A. Negotiates to improve delivery dates from Suppliers as backorder product is identified. B. Reviews files on a daily basis to determine if back order dates require changes Excess Inventory: 1. Assists supervisor in reviewing excess inventory hot lists and/or highest dollar/volume excess inventory. At direction of supervisor, specifically determines: A. Are there any open orders for these items for possible reduction/cancellation B. Do we have return privileges with the Supplier C. Is the product targeted to be picked-up in a future catalog D. Is the product a possible candidate for up-sell 2. Presents analysis to Inventory Manager for action or further instructions. Takes additional action as instructed, such as: A. Reducing / canceling Purchase Order B. Returning product to Supplier by obtaining an RA number and generating an RTV document Fill Rate & Backorders: 1. Assists supervisor in monitoring delivery performance and, at direction of supervisor takes action to assure on-time delivery by: A. Reviews scheduled product by due date, Supplier reliability, quality history, shipping distance, and other unique aspects of related to the product and its commodity group to determine how soon and how often each item/item group needs to be expedited. B. Contacts suppliers via phone, e-mail, or fax, depending on above factors, to expedite receipt of product needed to fulfill customer orders. Takes the following steps to help assure on-time delivery: 1. Monitors delivery performance and expedites orders as needed to achieve on-time delivery. 2. Requests firm delivery information including ship date, quantity, method of shipping, carrier name and contact name. 3. Works with Traffic Department to make sure product is received as needed. 4. Determines if delivery promises will result in customer backorders and/or increasing customer backorders. 5. Escalates expediting efforts to higher levels if information received will result in reissuing customer backorders or in increasing them. 6. Develops ability to intuitively know when own efforts will not produce the desired result and immediately escalates to the Inventory Manager. 7. Inputs all data obtained into the mainframe so it is available to all areas, including Traffic. 8. Assures all delivery dates in the system reflect when the product will be received so realistic backorder dates can be set. 9. Updates the mainframe system if delayed deliveries will not result in customer backorders and/or an increase in them. If the change will affect backorders, direction to change will be discussed with the Inventory Manager. 10. Recommends making product NLA or NLO as a result of discussions/negotiations with Suppliers. Passes recommendation to Supervisor for further review/negotiations C. Prioritizes expediting activities based on product due date and volume of existing and/or forecast backorders D. Alerts Inventory Manager to anticipated problems based on expediting activity and/or analysis of performance to goals. Takes additional action as instructed by Inventory Manager E. Negotiates payment of premium freight by the Supplier if the Supplier is shipping late. F. Conducts on-going Supplier education as pertains to the impact of late and/or partial deliveries and the charge backs that will result from them. G. Develops and fosters good relations between the supplier and our company through consistently demonstrating professional ethics and fairness in all dealings with our suppliers. 2. At direction of supervisor, takes responsibility for completing all input and maintenance for PC and mainframe databases. Discrepant Material: 1. At direction of supervisor, contacts supplier regarding quality problems documented on Discrepant Material Reports and: A. Conducts initial negotiations on resolution of quality problem and reviews with Supervisor. B. Supervisor approves initial negotiations and/or initiates further negotiations to reach resolution. C. Upon resolution being reached, takes the following action(s): 1. Informs QA, via phone or email of the results of the negotiations 2. Depending on negotiation results, takes the following action: a. Obtains Return Authorization number, Issues RTV paperwork, and creates a new Purchase Order, if required, to replace defective product. b. Authorizes sortation of product c. Authorizes rework of product d. Authorizes addition of guide to product e. Authorizes designation as a problem pack to be handled per the problem pack procedures. Invoice Discrepancies / VPA Analysis: 1. Analyzes discrepant invoices received from Accounting and presents findings / recommendations to supervisor. Upon direction of supervisor, specifically: A. Contacts receiving and warehouse personnel on quantity discrepancies to determine unique circumstances related to receipt in question B. Obtains copies of signed documentation, as needed, to determine facts C. Authorizes cycle counts, as needed, to determine actual receipt quantity D. Negotiates with supplier, as needed, to resolve price and quantity differences E. Communicates with Accounting regarding differences in purchase order price, payment terms or returns to Supplier. F. Correct internal errors in pricing 2. Submits researched and resolved invoices to the Inventory Manager for final approval. 3. Upon the request of the Inventory Manager, analyzes the VPA to determine accuracy of data. Researches pricing and quantities that do not seem right and submits findings to Supervisor for review. Upon direction of Supervisor, reviews suspected discrepancies with Accounting for their research and corrective action. Additional Duties: 1. Researches and troubleshoots product, Supplier, customer service, etc., issues as they arise, under Supervisor's direction. 2. Maintains good relations with supplier personnel, which means courteous, impartial, and objective dealings with suppliers. 3. Maintains Supplier information files, including: A. Payment terms. B. F.O.B. Point. C. Address. D. Phone numbers and fax numbers. E. Contact person(s). F. Supplier performance. 4. Attends meetings as requested by Inventory Manager such as: A. Pack Review meetings. B. Supplier meetings C. Interdepartmental meetings D. Task Force meetings 5. Serves as a resource person for QA, Resource Planning, Traffic, Warehouse, Merchandising and Customer Service relating to product information. 6. Maintains good housekeeping of work area. 7. Performs any duties as assigned by the Inventory Manager. 8. Performs all assigned tasks in a safe manner according to company policy. 9. Performs all designated job duties/tasks in other departments as assigned to ensure operating efficiency of the Company and maximum utilization of Company personnel.
