Details: The Service Coordinator is responsible for the orderentry, customer billing, scheduling for field service calls and incomingrepairs, data entry in the service database, scanning, filing, and customersupport via phone for exchange spare parts and the RMAs or Return MerchandiseAuthorization. The Service Coordinator will be responsible for otheraspects of the customer support and service support. These will include: Customer contact (verbal and written). Make a determination of individual customer needs and requirements, based on customer contact. Updating the service manager for proper support scheduling. Maintain accurate service records by collecting all information (service reports, customer information, customer contacts, billing preferences, etc.) then recording the information. Create organized and detailed spreadsheets to log all tracked information for the service department. (Warranty/courtesy costs, service contracts, etc.) Gather all information needed for service calls from the customer and the service departments’ records, such as the address of service, the contact and phone number, and the time and date of service call. This information will be given to the delegated service engineer. Keep sales reps in-tune with service calls made to their customers. Maintain service department staff calendar. Composing quotes for service calls and training classes. This includes obtaining information needed to determine quotes, correct distribution of quotes; proper recording of quotes and when quotes become purchases they should be matched up with customer’s purchase orders, and CTS’s sales orders. Coordinate/schedule service calls with customer and service department staff for CTS jobs. Service contracts. Track quotes to customers on service contracts, # of visits on service contracts and when they are made, the length of contracts and when they expire, and the billing of contract visits. Notifying customers of when they expire or when they are due for their next visit. Tracking all Job and Change Orders that need installation and training. This includes setting up the installation with the customers with the aide of the Project Manager for the Job or Change Order. Making sure installation and training details are given to the field service engineer and taking care of closing the job or Change Order when it is completed. Closing the Job or Change Order includes notifying all parties involved with the service report, comparing what work and hours were done to what was quoted. Notifying proper parties for any changes or problems in the set up. Oversee the Circuit Board Exchange Program. Monitor email in box and answer and/or direct emails as appropriate. Weekly receptionist lunch phone coverage (Friday) and any other time as requested. Process service department staff/others’ travel expenses. Approve as appropriate expenses and turn in to Service Manager/ accounting department. Compile expenses toward the service call/job. File compilation in appropriate location and process according to set guidelines. Order warranty replacement parts. After requisition is received from staff member, approve/enter order. Arrange for direct shipping to customer or receive parts in service department and ship to customer. Coordinate the In-house RMA instrument repair process. Issue customer an RMA number. Monitor timely progress of instrument repair. Process Service Repair Report/Invoice for customer. Receive/process purchase order, credit card information or funds. Prepare instrument with necessary paperwork for shipping.
