Details: Job Title: Business Office Administrative Assistant Department: Immediate Supervisor Title: Office Manager Status: ____ Exempt __X__ Non Exempt General Summary: A nonexempt, office position responsible for providing support to the administrative team, the Board of Directors/physicians and performing a variety of complex functions. Essential Job Responsibilities: 1. Performs duties for leadership team, including typing routine and confidential correspondence, drafts, reports, contracts, and memos; scheduling appointments for the chief executive officer; maintaining files of organization; typing and correspondence. • Assumes responsibility for the coordination of the leadership team calendar/schedules • Schedules and organizes complex activities such as meetings, travel, conferences as needed. • Write, design and coordinate correspondence, collaborate in the development of communications within and outside the practice. 2. Manage, create, maintain and facilitate distribution of minutes from Board Meetings. Maintains governance documents and files including those related to committees, strategic planning, bylaws, personnel, compensation, finance, etc. 3. Supports establishing and maintaining facility relationships. • Daily schedules • Communication of facility specific policy/procedure changes after internal approval “on behalf of” • Maintain a database of facility contacts, contract requirements, etc. • Tracks facility specific concerns/issues and advises the CEO or facility representatives. 4. Organizes and prioritizes large volumes of information and calls. 5. Manages the practices’ website according to organizational objectives. 6. Maintains current policies and procedures manuals as revisions are made. 7. Provide telephone back-up as needed for general office line and provider AWH line. 8. Works independently and within a team on special nonrecurring and ongoing projects. 9. Work closely with AWH IT Department to maintain functionality of related software. 10. Record and file all computer problems and document corrective actions taken. 11. Other responsibilities as assigned (backup for Daily Provider Assignments, mail duties, scanning, etc.).
