Details: The position is to service inbound and outbound client employee contacts in reporting an incident with the company vehicle (Incidents may or may not have resulted in actual damage and/or employee injury). All Accident Management Reps have constant interaction with the clients to address any human & emotional needs directly or indirectly expressed based on the client's situation. It is expected that detailed & accurate information is obtained from the clients during every encounter while delivering the highest class of professionalism and customer centric presentation. The position handles the origination of damage claims which can range from a minor fender bender to damage caused by severe accident which may include fatality. Primary responsibilities include: First Notice of Loss Reporting: • Capture Driver (or Representative profile and vehicle information to assess reason for contacting the center (Accident or other). • Review client policy throughout each call to administer accurate service to the Driver (or Representative). • Clearly communicate any client exceptions or additional steps that the Driver (or Representative) is responsible for stipulated by the client policy. • Populate “First Notice of Loss” incident report, gather details to accurately document incident (i.e. full details, location, speed, police contact, and etc.) and communicate any injuries to the appropriate parties. • Locate network supplier(s) that would handle providing an estimate or repairs to vehicle. If situation requires, arrange movement (towing) of vehicle to supplier and/or after hours storage. • Explain the vehicle repair procedures to Driver (or Representative) according to Element standards and policy guidelines. • Arrange rentals for Driver (or Representative) in alignment with client policy during vehicle repair process by coordinating with supplier appointment. • Document accident conditions to determine whether vehicle is classified as recoverable or non-recoverable as reported. Repair Status handling • Explain status of vehicle to update Driver (or Representative) on repair progress and/or next steps. • Check on status of total losses, approval for repairs, rentals, other party complaints, etc. • Handling outbound calls for report completion and/or follow-up. Client listen-ins/visits • Demonstrate daily tasks to clients during presentations, visits and listen-ins. Electronic Client Communications • Respond to clients concerns via email based on various situations. • Handle Accident report completion based on online reports received. • Assist with Rental requests based on online requests received. • Additional Responsibilities • Assist other departments, as needed, with special projects and/or overflow work. • Attend monthly staff meetings for updated department communications. • Share any necessary client insurance information with “other party” in the event of an accident reported/not-reported by the Element driver. • Make assessment when Interpreter assistance is needed for calls. Responsible to contact the language assistance line to aid with translating.
